About Tiko
What is Tiko?
Tiko is an AI back office built for HVAC businesses. It's a web app with an in-app AI assistant: you chat with it to draft estimates, send invoices, log expenses, look up customers, and run reports. It uses your real workspace data, and every action requires your approval before it happens.
Who is Tiko built for?
Owner-operators and small HVAC shops — the kind of business where the owner is on the truck all day and the back office is happening in evenings and weekends. If you're juggling QuickBooks, a spreadsheet, your text messages, and your accountant, Tiko consolidates most of that into one place.
How does the AI work?
You open Tiko in your browser (laptop or phone) and chat with the AI assistant. Ask in plain English — “draft an estimate for Mrs. Johnson, new condenser, $4,200 plus install” — and Tiko finds the customer, drafts the estimate from your real service and template data, and waits for you to approve before it sends. Every AI action that changes your workspace goes through an approval step.
Is Tiko replacing my accountant?
No. Tiko handles the day-to-day back-office work — estimates, invoices, expenses, customer records, payments, and built-in reports like AR aging and sales tax. Your accountant still handles taxes, compliance, and year-end work. Most customers find Tiko makes their accountant's job easier because everything is already categorized and exportable.
AI and your data
Does Tiko use AI to generate my estimates and invoices?
Yes. Tiko uses AI to draft estimates, invoices, expenses, and other back-office work. Every action that creates, edits, or sends something requires your explicit approval first — nothing leaves your workspace without you signing off.
Is my business data used to train AI models?
No. Your customer data, estimates, invoices, and messages are not used to train AI models — not ours, not our providers'. We use third-party AI providers (such as OpenAI and Anthropic) under agreements that prohibit training on your data. See our Privacy Policy for the full detail.
How accurate is the AI?
Very good on structured work like estimates, invoices, and summaries — that's what it's built for. It's not perfect, so we designed the product around human review: nothing goes out the door without you approving it.
Can I review and edit AI-generated content before it's sent?
Always. Every estimate, invoice, and customer message that Tiko drafts is reviewable and editable before it's sent. Nothing leaves your workspace without your approval.
Getting paid & customer portal
Can my customers pay invoices online?
Yes. Tiko uses Stripe Connect — you connect (or create) your own Stripe account during setup, and any invoice you send goes out with a pay-now button in a branded customer portal. Your customer taps the link, puts in a card, Stripe processes the payment, and Tiko automatically records it and closes the invoice. The money goes directly into your Stripe account — Tiko is never in the money flow.
Can customers sign estimates digitally?
Yes. When you send an estimate to the customer portal, the customer reviews the line items and can approve it with a digital signature drawn right on their phone. If you've turned on auto-convert in your settings, a signed estimate instantly becomes an invoice ready to send — no re-typing line items, no switching tools.
What does the customer portal look like?
It's a simple web page with your business name and logo at the top. Customers land on it from a secure link you send them — no account to create, no app to install. They see their outstanding estimates and invoices, can approve and sign estimates, pay invoices by card, and download PDFs. Everything branded as your shop.
Do I need a separate Stripe account?
Tiko uses Stripe Connect Standard, which means you create or link your own Stripe account in two clicks during setup. Your business is the merchant of record, the money lands directly in your account, and Stripe handles all card processing and PCI compliance. Tiko just wires it up so your invoices can accept card payments through the portal.
What if a customer pays me in cash or by check?
Log it in a sentence. Ask Tiko “Mrs. Johnson paid $4,200 cash” and it records the payment against the invoice and updates the balance. Same for checks, card-in-person, or any other off-Stripe method. Every payment, refund, and adjustment is tracked in one ledger.

How do I sign up?
Click Start free trial, enter your email, and you're in. You'll add a payment method during sign-up, but you won't be charged until your 3-day free trial ends. No demo call required.
Is there a free trial?
Yes — 3 days of full access, no features held back. Cancel before day 3 and you pay nothing.
Do I need to download an app?
No. Tiko runs in any modern browser — laptop, tablet, or phone. There's nothing to install.
Can I add my customers and jobs?
Yes. You can create customers, addresses, notes, and attachments directly in Tiko, or ask the AI assistant to create them from a chat message. Every customer can have multiple service addresses, notes, and attached files.
Pricing and billing
How much does Tiko cost?
The base plan is $29.99 per month, billed monthly. Or go yearly and pay $27.49 per month — billed once a year at $329.89 ($29.99 × 11, so you get one month free). Additional teammates (techs, dispatch, office help) are $14.99 per seat per month, or $13.74 per seat per month on the yearly plan ($164.89 per seat per year). Every new account starts with a 3-day free trial.
Can I cancel anytime?
Yes. Cancel from your billing page in two clicks. Monthly accounts stop at the end of the current month; yearly accounts can cancel to stop renewing. No fees, no phone calls, no guilt trips.
What payment methods do you accept?
All major credit and debit cards, processed securely by Stripe.
Security and privacy
Where is my data stored?
Your data lives in Tiko's backend, hosted on Convex, running on cloud infrastructure in the United States. Authentication is handled by Clerk. See our Privacy Policy for the full list of providers.
Is my data encrypted?
Yes — encrypted in transit (TLS) and at rest by our backend and cloud providers. Access is restricted to authenticated members of your organization.
Can I export or delete my data?
Yes. You can export your customers, estimates, invoices, and expenses at any time, and you can request full deletion of your workspace. See our Privacy Policy for the request process.
